Client Case Study: Accounting Firm Owner

How operational support gave a $800K business owner 15 hours a week back — without slowing down growth.

The Goal

Our client, who earns $800K annually running her own accounting firm, came to us needing something different than marketing support. She has hundreds of clients and a full staff, including her husband. She’s also a mom and her family’s breadwinner. Her priority wasn’t more leads, it was getting her time and headspace back so she could build a lifestyle-first business instead of being chained to her desk.

Our Approach

We took a full operational view of her business from day one. Rather than handing her another task list to manage, we stepped in to own the systems and processes that were living only in her head, so she could stay focused on the work only she can do.

Here is what we executed in an average month:

01 / Day-to-Day Operations

  • Updated her client pipeline
  • Scheduled client meetings, including Zoom links and invites
  • Researched vacation destinations and activities
  • Planned her high school reunion
  • Tracked PTA checks for her kiddos’ school audit (yes, she is also PTA Treasurer)

02 / Client Onboarding Process

She had been onboarding clients ad hoc for four years, holding most of the process in her own memory rather than a system. We worked through what needed to happen with every new client and built a real process around it.

We formalized a fillable PDF checklist for all new clients. We complete as much of it as possible before she ever sees it, so she’s not spending her time on basics like name and email entry.

Once a new client’s intake is complete, we take that information and complete a series of 14 tasks to fully set them up across her software, including QuickBooks and Sharefile.

Value of her time back: $750 per new client.

The Extra Win

Before bringing on support, this client described feeling like she was always “on”, constantly exhausted and overwhelmed thinking about what needed to happen next. She knew she was on a fast track to burnout.

With our team handling the operational load, she now gets 15 hours a week minimum back to focus on what only she can do.

Value of her time back: $15,000 a month.

Some of what she’s doing with that time now:

  • Attending networking events toward her goal of $1M in annual revenue
  • Volunteering as a mentor at her alma mater
  • Hosting family brunches and BBQs with friends
  • Being present for bedtime, every night

Our support allows her to build a lifestyle-first business rather than being chained to her desk in order to grow. No matter the goal, our focus is helping clients get there. And for a working mom, that means supporting both the business and the life around it, because each one fuels the other.
